Position Records

One database, one structure

Job descriptions in Word, in email, and on a shared drive. Every manager writes differently, and no one knows which version is the correct one. The module provides the same template for all job descriptions.

Job title, introduction, responsibilities, qualifications, experience, personal qualities, benefits, and working conditions. Enter your responsibilities as formatted text; select the rest as tags.

Result for the company: The positions can be compared with one another because they have the same sections.

Position Card

Eight sections, ranging from the title to working conditions.

Tags from the code list

You can select or add qualifications, experience, and benefits.

Approval Indicator

HR will approve it, and then approve it again after it has been edited.

Comments

Only HR and the author of the comment can see them.

Change History

The date, user, and description of each edit.

Roles and Permissions

Others read; HR creates and edits.

Approval and Review

HR Approval That’s Visible

HR approves every new or modified job description. Approval is a flag associated with the position, not a separate status. As soon as someone modifies the job description, the flag is reset, and HR must approve it again.

Feedback is addressed in comments that are visible only to HR and the person who posted the comment. Each change includes the date, the user, and a description of what was changed.

Benefit for the company: You can always document who approved the description, when it was approved, and what has changed since then.

No one adds anything extra. History is created through the normal process of editing and approving descriptions.
