Keybox allows you to securely store and hand over keys, cards, documents, devices, or other items. Users can access a specific locker only after verifying their identity using a PIN, QR code, or RFID card.
PIN, QR, or RFID
Access to the locker can be granted via a one-time PIN, a QR code, or an RFID card. Each method can be configured to suit the specific facility.
Drop-off and Pickup
Keybox supports both main scenarios: one person places an item in the box, and another person picks it up at a specified time.
No account for the recipient
The person picking up the item does not need to have access to the system. All they need is a valid PIN, QR code, or RFID card.
Time-Limited Access
Each reservation can have a validity period set. Once that period expires, the mailbox can no longer be opened.

Reservations and Availability Overview
The entire process is based on reservations. An authorized user selects a keybox, a specific locker, the type of action, the recipient, and the time when the locker is to be available.
New Reservation
When creating a reservation, you specify the item being transferred, the location, the specific drop box, and the recipient.
Visual Overview of the Boxes
A graphical overview will show which mailboxes are free, occupied, or reserved.
Selecting a Location and Mailbox
A reservation can be linked to a specific location, keybox, and even a specific mailbox.
Reservation History
Users can view their own reservations, while administrators have a complete overview across all boxes, locations, and users.
Announcement
Notifications, Confirmations, and Feedback
The system can automatically notify users and monitor uncompleted pickups or drop-offs.
Email or text message
The recipient will receive instructions on how to pick up or deposit the item, including login information.
Notification in Case of a Problem
If an item is not picked up or deposited, or if an access error occurs, the system may send a notification.
Custom message texts
Notification texts can be customized for a specific process, customer, or item type.
Post-Event Surveys
Once the process is complete, a brief summary or status confirmation may appear, such as whether the device was returned in good condition.

Records and Audit Trail
Every important operation is logged in the system. This makes it possible to trace who used which mailbox, when, and how.
Event Log
The system logs device openings, closings, errors, completed actions, and technical events.
Access Log
For each access, you can see the authentication method and the link to the specific reservation.
Reservation History
A record of the reservation’s creation, validity, completion, and any issues is retained.
Traceability of the Transfer
In the event of a complaint or an inspection, it is possible to verify when the handover took place and how it was conducted.
